This privacy policy sets out how DP Support Services CIC uses and protects any information that you give us when you use our service and our website. The name of our Data Controller is Phillipa Newton.

DP Support Services CIC is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using our service or website; you can be assured that it will only be used in accordance with this privacy statement.

We may change this policy from time to time by updating the appropriate page online. You should check this page regularly to ensure that you are happy with any changes we make. This policy is effective from 01 June 2018.

Information we may collect

We may collect the following information:

  • Name and job title
  • Contact information including email address
  • Demographic information such as your postcode
  • Other information relevant to your work with your employer/carers and as a service user of our company

What we may do with the information

We require this information to understand your needs as a service user and provide you with a worthy service, but in particular for the following reasons:

  • Internal record keeping
  • To improve products and services
  • If you have requested our co-produced payslip only service, we may need to pass your personal information to our service partner.
  • We may also use your information to contact you for market research purposes to help us to improve our website according to your needs. We may do this by email, text or phone.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect and send.

Links to other websites

From time to time, our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we are not responsible for the content, protection and privacy of any information which you provide whilst visiting such sites and they are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

Controlling your personal information

We will only ever ask you for information that is essential to the smooth running of our business and that will assist us in providing our service to you. We will not sell, distribute or lease your personal information to third parties unless we have your express permission or are required by law to do so. However we will pass relevant information on to such organisations as HMRC, Department of Works and Pensions, the Benefits Agency if required to do so or to comply with a formal investigation. You will be advised if we are requested to do so. (This is not an exhaustive list).

As a client of DP Support Services CIC, you are entitled to client confidentiality. We will not give any agency any information about you without your consent unless by doing so we are putting ourselves or the company at risk of legal action.

You can access details of personal information which we hold about you under the General Data Protection Regulations (GDPR). This is free, and if you are logged in, you can access it from the 'Your Data' section in the 'Account' tab. Additional personal or client data can be requested by downloading a Subject Access Request (SAR) form from the documents page.

Where necessary, we may need to use email to send items of personal data to our service partner, support workers, employers/clients, the Local Authority or NHS. All documentation will be password protected and where necessary, we will always ensure your identity cannot be determined by the use of anonymisation and or pseudonymisation techniques. These methods use codes and/or numbers in place of names that are only known to those in receipt of the information.

Data is retained in line with HMRC requirements, onsite in locked cabinets within a locked home office – archived files are stored in locked cabinets onsite for 4 years. All personal data that is no longer required is cross-shredded onsite or deleted from our systems by Dell software programming.
